Description of position: As the chief executive officer of the PTO, the President has general supervision of all PTO operations. The President facilities all monthly meetings and guides the agenda, hosts quarterly board meetings and oversees execution of committees. Is the primary contact for FES Staff, and specifically the Principal and represents the FES PTO at required meetings and events.
The president is in charge of supporting the overall mission of the organization described in the bylaws, but also finding key areas of focus to increase the reach and impact of the PTO. Coordination across all PTO operations really means being aware and slightly involved with all committees and activities being conceived, planned and executed. The president monitors the PTO inbox and makes timely responses to any inquiries, questions or approvals. They’re also in charge of coordination across all Oregon PTOs at a high level to promote collaboration.
Best for this type of person: Someone crazy, kidding! This position is best for someone who can focus on highest value items through collaborative decisions and keep groups of people focused and moving. Able to say no and be okay with doing less things really well. Able to juggle multiple items at once and stay organized. Someone who can attract new members and promote the PTO’s value.
Description of position: Helps coordinate work across all of the committees on an as-needed basis. Fulfills the President’s duties in his or her absence.

Drafts, maintains and tracks the annual budget. Monthly they manage a reconciliation of contributions and expenses.
Description of position: Attending all PTO meetings and taking accurate records of such meetings, presenting meetings for approval and timely distribution of the minutes to relevant distribution lists. Additionally, maintaining the PTO member contact information.
This person is responsible for sending out a meeting agenda one week ahead of the meeting. The PTO Board will work collaboratively to create the agenda, but the Secretary starts the process. The Secretary takes accurate minutes of the PTO Meeting each month, proofs them and sends them to the membership within one week of the meeting. The Secretary coordinates the monthly attendance drawing to conclude each meeting. The Secretary sends a PTO Update to the Forest Edge staff with the minutes and highlights of the meeting for staff to add to their family communications.
Best for this type of person: This person must be detail oriented, timely and organized.
Goals: To inform and encourage staff participation on PTO activities and perks, and be the point of contact for different committee leads for staff needs such as Staff Spotlight posts and spreading the word about perks such as the Firefly tab for FES Staff. Ideally this would be a member of the school staff to have access to distribution lists, etc.
The Staff Liaison puts out the PTO Sandwich Board in front of Forest Edge School to highlight upcoming meetings and events and coordinates the staff spotlights.
Committee Goals: Showing FES staff that we recognize and appreciate their contributions and dedication to our students through the planning and execution of different appreciation events and perks. Also includes coordination of twice a year potlucks for staff during Fall and Spring conferences.
Lead Description: Coordinating appreciation events in line with national staff member days/weeks, conferences, and avoiding duplication of the Sunshine Committee events (not a PTO Committee). Other tasks may include coordinating volunteer contributions, seeking donations to the committee from different businesses, parents, and coordinating day-of execution.
Goals:
Coordinating fundraising events to help meet each school year's fundraising goals so that the Forest Edge PTO can use their budget towards supporting our school community.
Lead description of position:
Leading and implementing the fundraising efforts for the Forest Edge PTO. This includes planning and executing a variety of fundraising events and campaigns, coordinating with businesses, acquiring the necessary approvals, and tracking and reporting the results of each fundraiser.
The Fundraising Chair works closely with the Communications Committee for marketing purposes, and the Treasurer for evaluating fundraising efforts. Other important tasks include attaining and coordinating volunteers when necessary, identifying fundraising opportunities, attending PTO meetings, and participating in votes and other collaboration with board members.
Best for this type of person: Someone with planning, organizational, and communication skills. Must be able to meet deadlines, respond quickly and work well with others.

Committee Goals: Focus on giving back to the community through targeted donation collections and hosting give back focused events. Past events include: OAFP drives, Cereal Domino challenge, Operation Joy coordination.
Lead Description: Managing different donation events, outreach to partners, and ensuring the success of these efforts through leading the committee, coordinating volunteers, and working closely with the Oregon community partners.
Committee Goals: The Events committee is in charge of planning family events to build school community and pride. These would be free events open to all families and staff, separate than fundraisers or community give back, with the purpose to be focused on fun and available to all. Past events: Back to School night, Game night, STEAM Fair. The role also includes partnership with the staff organized events such as Lift Every Voice and Read (Black History Month).
Lead Description: The Events Chair should coordinate the schedule for these events, gather appropriate approvals, and organize the committee team and volunteers to ensure the success of the events. Note, this committee has several established sub-groups and often someone has an idea and will run with it, so the Events Lead just needs to oversee across, not own all events end to end.

Committee Goals: Promoting the PTO and encouraging PTO attendance and participation.
Lead Description: To inform the public on what the PTO is and promoting others’ participation. For example, sharing past PTO successes, volunteer and committee opportunities, attending PTO events and staffing a table to answer questions and help with sign-ups, and encouraging engagement through different means such as PTO Meeting promotions (drawing for gift card) and planning social events (social meet-ups). This role would also include coordination of the quarterly PTO social events.
Committee Goals: To update the community about upcoming events, fundraisers, and volunteer opportunities
Lead Description: Organize marketing requests, designs, and schedules through different networking platforms. The lead is in charge of ensuring their team and volunteers manage the website, monthly newsletter, social media posts, flyers, sandwich board, and any designing needs that come up for these mediums, as well as updating the PTO on any of the committee’s needs and last calls for information from other committees.
